1. Who we are
CORDIW LLC, trading as Cordiw Agency ("we", "us"), is a Colorado limited liability company with its office at 970 Utica St, Denver, CO 80204. We are the controller of the personal information described in this policy. Questions about it can be sent to info@cordiwagency.com or raised by phone on (719) 345-2298.
2. Information we collect
We collect only what we need to open, administer and close an escrow file, and to meet our legal obligations.
- Identification data: name, date of birth, residential address, government-issued identification, and for entities, formation documents, EIN and beneficial-ownership details.
- Contact data: email address, telephone number and postal address.
- Transaction data: the asset, the amount, the parties, the terms, the correspondence on the file and the documents uploaded to it.
- Financial data: bank account and routing details used to fund the escrow and to receive disbursement.
- Technical data: IP address, browser type and pages visited, collected through server logs when you use this website.
3. How we use it
- To perform the escrow agreement — verifying parties, holding funds and disbursing them under the signed instructions.
- To comply with anti-money-laundering, sanctions-screening, record-keeping and tax reporting obligations.
- To detect and prevent fraud, including confirming that funding accounts belong to the named party.
- To communicate with you about a file, and to respond to enquiries submitted through this website.
- To maintain the security and integrity of our systems.
We do not sell personal information, and we do not use it for behavioural advertising.
4. Who we share it with
- The other party to your transaction, limited to what is necessary to complete it — typically your name and the transaction terms, not your identity documents or banking details.
- Our bank, in order to hold and move funds.
- Identity verification and sanctions-screening providers acting on our instructions.
- Professional advisers — auditors, attorneys and accountants — under duties of confidentiality.
- Government authorities, where required by law, subpoena, court order or regulatory examination.
5. How long we keep it
Escrow records, including identification documents and transaction files, are retained for a minimum of five years after the file closes, as required of escrow and money-services record-keeping. Website enquiry messages are retained for twenty-four months. Server logs are retained for ninety days.
6. How we protect it
Access to file data is limited to the escrow officers who need it. Transport to and from this website is encrypted in transit, identity documents are stored encrypted at rest, and disbursement account changes always require verbal confirmation with the party on the file. See our security page for the operational controls.
7. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to request deletion, to object to certain processing, and to be free from discrimination for exercising those rights. Colorado residents have these rights under the Colorado Privacy Act; residents of other states may have equivalent rights.
Note that we cannot delete records we are legally required to keep — a closed escrow file is the clearest example. To make a request, write to info@cordiwagency.com. We will verify your identity before acting and respond within forty-five days.
8. Cookies
This website sets a single session cookie so that forms work correctly and to protect them against cross-site request forgery. It expires when you close your browser. We do not use advertising or cross-site tracking cookies.
9. Children
Our services are for adults. We do not knowingly collect information from anyone under eighteen.
10. Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes affecting an open file will be notified to the parties on that file directly.
